Refund & Cancellation Policy

1. Overview

Intellibook AI ("we", "our", "us") is a subscription-based SaaS platform that provides AI-powered WhatsApp booking and receptionist services to businesses. This Refund and Cancellation Policy outlines the terms under which refunds are issued and subscriptions can be cancelled. By subscribing to any paid plan on Intellibook AI, you agree to the terms of this policy.

2. Free Trial

All new accounts receive a 14-day free trial with no credit card required. During the trial period: • You have full access to all features of the plan you selected. • No charges are made to any payment method during the trial. • At the end of the trial, your account will be downgraded to the free tier unless you choose a paid plan. • No refund is applicable for the free trial as no payment is collected.

3. Subscription Cancellation

You may cancel your Intellibook AI subscription at any time from your dashboard under Settings → Billing → Cancel Subscription. • Cancellation takes effect at the end of your current billing cycle. • You will continue to have access to all paid features until your billing period ends. • No partial refunds are issued for unused days within an active billing cycle. • Once cancelled, your account will revert to the free plan at the end of the billing period.

4. Refund Eligibility

We offer refunds under the following conditions: • Within 7 days of your first paid subscription charge, if you have not used the service (defined as zero AI conversations processed and zero appointments booked via the platform). • If Intellibook AI is unable to provide the service due to a technical issue on our end that is not resolved within 72 hours of a reported support ticket. • If you were charged incorrectly due to a billing error on our part. Refund requests must be submitted by emailing support@intellibookai.com with your registered email address and reason for the refund request.

5. Non-Refundable Situations

Refunds will not be issued in the following cases: • After 7 days from the date of the first paid charge. • If the service has been used (conversations processed, appointments booked, or WhatsApp number connected). • For renewals where the subscription was not cancelled prior to the renewal date. • For partial months or unused portions of a billing cycle after cancellation. • If your account was suspended or terminated due to a violation of our Terms of Service.

6. Plan Downgrades

If you downgrade from a higher plan to a lower plan mid-cycle: • The downgrade takes effect at the start of the next billing cycle. • No refund or credit is issued for the price difference in the current cycle. • You retain access to the higher plan's features until the cycle ends.

7. Processing Refunds

Approved refunds are processed within 5–10 business days. The refund will be credited to the original payment method used at the time of purchase. • UPI payments: 1–3 business days • Credit/Debit card payments: 5–10 business days • Net banking: 3–7 business days Intellibook AI is not responsible for delays caused by your bank or payment provider.

8. Shipping Policy

Intellibook AI is a fully digital software service. We do not sell or ship any physical products. All services are delivered electronically via our web platform and the WhatsApp Business API. This policy therefore does not include a shipping section, as no physical goods are involved.

9. Changes to This Policy

We reserve the right to update this Refund and Cancellation Policy at any time. Changes will be communicated via email to registered account holders and posted on this page with an updated date. Continued use of the service after changes constitutes acceptance of the revised policy.
